CLOSE OF ENTRIES:  April 17, 2012, 11:00 p.m., EST.  All entries must be made online by the close of entries using the AVA CompWeb Online Vaulting Competition Registration System at http://vaulting.swcp.com.  Post entries cannot be accepted per AVA rules. 

BORROWING HORSE TIME:

If you need to borrow horse time, please contact Karin Schmidt at karinshorses@gmail.com / 616-498-7028 to arrange for a suitable horse for your vaulter to use.  If you have available time on your horse and will share it with other vaulters, please contact Karin as well.

If you will be borrowing a horse/longeur, you cannot select that horse/longeur on the CompWeb System for an event until they have been registered by their home club.

NUMBERS: Longeurs and individual vaulters must wear their AVA number in accordance with current AVA rules. Horses must wear their AVA number on their bridle (Contact the AVA National Office at NationalOffice@AmericanVaulting.org to get an AVA horse number).  Team vaulters must wear a number from 1 through 7 that is easily visible, and must vault in that order for the compulsory round.

COMPOSITE TEAMS: AVA Composite Team Forms for composite teams competing in recognized classes should be submitted with your entry. The organizing coach listed on the form is responsible for ensuring each vaulter’s participation on the composite team is authorized by his or her coach.  The cost for composite pairs, triples & teams will be charged fully to the club registering the event.  That club must collect the costs from the composite members.

NOTE:  The CompWeb System does not currently allow charging a Team Cost per round per vaulter. If you will be doing both Team Compulsories and Freestyle in any team classes, please go to the Extras entry screen and add the correct additional costs for your variable number of vaulters. Fest Management will check these classes to ensure proper additional costs were charged.

PAYMENT AND DOCUMENTS:  Mail the online payment sheet, your check, and all required forms postmarked by Wednesday, April 18, 2011, to Karin Schmidt, 6389 Burton SE, Grand Rapids, MI 49546Make one check payable to Therapeutic Horse Connection.  Required forms include Hold Harmless/Medical forms for each lunger and vaulter and your horse’s Coggins.  Vaulters cannot participate until a completed and signed form is received by competition time.

Changes:  Changes after close of entries (except of horse and lunger) are subject to management approval and a $10 per change processing fee.

Entry Fees:    Vaulter Registration Fee: $34.00

(includes $7 AVA fee and $2 Region X fee)

Class Fees: $15.00 per vaulter

Medal Test: $25.00 per vaulter payable to Therapeutic Horse Connection

Medal tests:   Medal test applications and AVA fees should be sent no later than April 4, 2012, to avoid AVA late fees.  The application must be filled out and sent to Sue Detol, AVA Medal Test Secretary, with the appropriate fees.  The vaulter must be an AVA member.  Please contact Sue Detol at 503-357-9651 or email her at sdetol@aol.com if you need any assistance or have any questions regarding the medal test procedure.

Clinic:  Clinic time with Kelley Holly is $60/hour for a private lesson or $30/hour for a semi-private lesson.  If you are medal testing, you may wish to clinic with Kelley prior to the test.  Medal testing will be held after the fest on Saturday if there is time.  Please contact Karin Schmidt to schedule clinic time and medal test times at karinshorses@gmail.com / 616-498-7028.

Stabling:        $45/horse for Friday and Saturday, $75 for the weekend.  First bedding is included.

The stalls are permanent indoor box stalls.

$35/horse on Saturday for showing out of trailer

Food:  Healthy food will be available at the fest throughout the day.

Facility Information:   (1) This is a non-smoking facility.  Smoking is permitted only in your own vehicles, using your own ashtrays.  (2)  Please leave all pets at home.  (3) Spectator’s need to provide their own seating.  (4)  Please keep the activity in the stall area to a minimum.  No running, loud noises or any other disturbances allowed.  Parents are asked to keep their small children with them and supervised at all times.  (5)  Please do not touch any horse without the permission of the owner.

Fest Information:  (1) Centennial Acres Dressage, A Vaulting Connection/Therapeutic Horse Connection, Fest Management and the American Vaulting Association will not be responsible for any damages, losses or injuries.  (2)  Practice barrels will be allowed only in the designated barrel area.  Practice on the vaulting barrels will be allowed only when an adult coach or the vaulter’s parent is present and supervising.  (3)  The judge has the right to excuse from the competition any horse which is uneven, unlevel, in bad condition or which shows signs of discomfort, and/or any horse which is behaving in an unsafe manner which may endanger the safety of the vaulters.  (4)  Management is not responsible for the decisions of the judge.  (5)  Fest management reserves the right to correct any error or make any changes in the program or class list at its discretion.

Awards Ceremony: Awards are 1st through 5th for all classes.  Ribbons will be awarded at the end of the recognized fest.

Order of Go:  A Preliminary Order of Go will be prepared as soon as possible after the deadline date and emailed to all coaches.

Draw:  The draw for the order of go of teams and individuals will be held at 8:00 p.m., April 30, 2011, at the home of Karin Schmidt, Grand Rapids, MI.

Cancellation Fees:  After close of entries the registration fees for vaulters are non-refundable.  Fees for cancelled or scratched classes are non-refundable, except in the case of management approved medical circumstances.

Directions: Centennial Acres Dressage is located right next to I-196 but it is a couple of miles from Exit 44 if you come from the North, or Exit 41 if you come from the South.  Best is to have a GPS or Mapquest it. Contact Karin if you have further questions.

Volunteers:  Fests are run with volunteer help.  Each participating club is asked to name a volunteer coordinator at sign up. Parents are asked to help with a job for a few hours during the fest.

Music

 Vaulters must provide their own music on a CD-R with a CD case.  Commercial CDs will not be accepted.  AVA rules permit music to have vocal sounds, but not lyrics or words except at the Silver, Gold, A Team and Open Pas de Deux.

 CD-R’s should be tested on standard music equipment before competition.  Music must be delivered to the music director at least 15 minutes before the start of the class.  However, it is recommended that teams turn in music prior to the start of the first morning class (for the morning events) and the first afternoon class (for afternoon events).  The music director is not responsible for music failure.

Music labeling:  Once the CD is in the player, the music director cannot see the CD so it is important to also label the CD case.

Please provide a separate CD for each vaulter for each class.  The music volunteers will be grateful to you for this which makes their job so much easier.

Music and case label must be clearly marked with:

Class number and name (make sure the numbers and names match the class list)

Vaulter first and last name

Club name

For compulsory music, all vaulters going together must use the same music.

**NOTE** For freestyle music, do not put music for more than one vaulter on a CD.  This is easier for the music director to queue up the music or adapt to a change in order if necessary.  When marking on a CD, use only a soft pen like a Sharpie so not to damage the data surface which is under the brand label.  Affix only circular CD labels using a stomper.  Rectangular address type labels can unbalance a spinning CD resulting in music failure.

Remember that the music directors are volunteers; they may be new parents and thus not know much about vaulting and vaulting classes.  Clear, legible labeling including correct class name, and number will not only help novice music volunteers to identify music correctly but also prevent unnecessary distractions which can result in errors for other vaulter’s music.
